Earning Time Off: Accrual Schedules
Accrual schedules can be set up to allow your employees to earn reoccurring time off automatically. These can be setup from the time off menu
Click on "Accruements"
Click the "add"button to add a new accrual schedule
Title
Name of the accrual schedule
Paid Time Off Type
Bank that this schedule will accrue to for the included users
Earnings per occurrence
- Flat rate per occurrence: flat rate meaning all users included will earn the same amount
- Custom rate by months of service: for company policies that have a tiered structure based on years of service, custom rates can be set up by months
- To edit these custom rates, click the plus sign, choose a starting month, ending month and earning rate:
Earnings Schedule
Start Date: Date this accrual will begin to take effect
End Date: Date this accrual will end. If no end date is given, the accrual schedule will continue to run indefinitely
Earnings can be accrued:
- Weekly: Every 1-4 weeks
- Monthly: Everyone 1-28 day of every 1-12 months
- Yearly: On a specific month and day
- Per Payroll Period: Requires payroll periods to be set up through the time clock system
- Based on hours worked per payroll period: Requires payroll periods to be set up through the time clock system. Earnings are calculated based on the amount of hours entered
- Based off the employee's Anniversary date: Requires dates of hire to be entered for users under settings
- Based of the employee's birthday: Requires date of birth to be entered for users under settings
Once the schedule has been setup, clicking save will automatically beginning scheduling out time off accruals based on the parameters of this schedule for the next 365 days (unless you have entered an end date to occur before that)
Users Included
Users included in an accrual schedule can be edited from the Time off accruement earning type:
They can be filtered by position or by individual users. Reoccurring earnings can also be customized on an individual basis:
View Earnings
You can view earnings on a by occurrence basis by click the view earnings button from the Time off accruement earning type
From here you can pick an earning date from the drop down and view what each user is going to receive for that period.

Custom dates of hire
Sometimes you have a user that has a grandfathered date of hire or date of hire that falls outside the normal parameter of the accrual schedule. Custom date of the hire can be set up from the time off accruement earning types menu
This will allow you to make a custom date of hire for any user for accrual schedules only. This will not affect their regular date of hire found under user settings
